Assign staff to a job

Where assignment is possible and where it is not, how availability is worked out, and why the completion dialog can send you in a circle.

Assignment is possible on some screens and not others, and the screen that most obviously asks for it cannot do it. Knowing the map saves a lot of clicking.

Where you can and cannot assign

  • Schedule board, assignees cell — full add and remove.
  • Schedule board, team cleaners cell — assign to the team, which flows through to its jobs.
  • Schedule board, Auto Fill — bulk, covered in its own article.
  • Jobs list cardadd only. The unassign control is suppressed here, so you cannot take somebody off a job from the card.
  • Jobs table — not at all. Every column is read-only; the only row action opens the job in a new tab.
  • Job detail page — not at all. Assigned To renders as plain chips with no control.

The dead end worth knowing about

When you press Complete on a job with nobody assigned, the confirmation dialog disables its confirm button and tells you: No assigned staff are available. Assign a staff member before completing this job.

The page giving that instruction cannot carry it out. Go back to the jobs list or the schedule board, assign somebody there, then return and complete. This catches people out regularly, because the message reads like something you can act on where you are standing.

Related: the Completed by list in that dialog picks who gets credited for the work. It does not assign anyone — it only records attribution.

How the availability list is built

Opening the picker on a jobs-list card requests the staff available on that job’s date. The schedule board does not: it reuses whatever was loaded when the date last changed, so a picker opened there can be several minutes stale, and if that earlier request failed it will simply be empty with no error.

Availability itself is decided by what staff have recorded in Resource Planning. The picker groups people into available and unavailable, and already-assigned people are removed from the choices.

Changes commit when the picker closes

Ticking a name does not save it. The change is written when you close the popover, and only if something actually changed — re-selecting somebody already assigned does nothing at all.

Assignment is additive: adding people never removes the ones already there.

Reading the avatars

People on a job through their team show with a tooltip in the form Jane Smith | team: Team A on the jobs-list card, and they carry no remove control — change the team assignment if you need them off. That tooltip does not exist on the schedule board.

Temporary staff have no avatar image; they render as a spy icon. On the jobs list they also get a red ring, but on the schedule board the icon is the only signal, and nothing anywhere spells out the word “temporary”.

Selecting only temporary workers from a jobs-list card silently does nothing — no assignment, no error, no toast. Temporary staff are held in a separate list from permanent ones, and the card’s assignment path resolves names against the permanent list alone. Assign temporary workers from the schedule board instead, and always confirm the avatar actually appears on the job before moving on.
